A Proven System
One thing that differentiates us from other programs and makes us unique is our attention to transparency to the property owner. Our software has been customized so that each owner can set their level of involvement and notification. Every reservation is defaulted to email the owner reservation updates. If the owner doesn’t want to be notified by email of their activity, they can set the system to not email and be available online at anytime they wish to view their records. All setting and activity is available 24/7 by logging into the Sea Side Owner Access Portal (SOAP). Every single work order for anything done to an owner’s property is automatically sent with a photo to the owner, along with updates and costs
Cutting-Edge Technology for Owners
Sea Side Reservations has developed and implemented cutting-edge technologies to be used with our overall management operations to provide unsurpassed rental management and property maintenance. Our owners have exclusive smartphone apps which integrate with our privately owned and exclusive software.
These phone apps allow owners to see their reservation calendar and make owner reservations. Our property owners are also able to create work orders for their properties with photos of what they want fixed. Owners are also able to modify their inventory lists with photos, values and photos of receipts for new items, and to remove previous items.
Marketing our Rental Properties
Sea Side Reservations has a multi-channel marketing strategy to maximize occupancy. We market our properties by our own website which receives 7.5 million hits per month. We also advertise our properties in online marketplaces such as Homeaway, VRBO, Flipkey, AirB&B, and others. Our calendars synchronize with VRBO, and Homeaway.com and all third party calendars for maximum exposure and lead management. Our software is also designed to integrate with such GDS (Global Distribution Systems) and Wholesalers as Booking.com, Expedia.com and Hotels.com. Steve personally visits Austin, Texas each year to meet with the leaders of VRBO and Homeaway.com to insure we receive maximum exposure and discounts for our property owners and guests.
Communication with Owners
Our belief is that all emails should be answered within 24 hours. In order to monitor and measure that we are meeting this self-set standard, we built email capability into our software so that the entire company works from a common system. This allows us to generate weekly reports to ensure that our staff is maintaining good communication with owners and guests. We have included a copy of a report that is sent to the leadership of the company automatically and is discussed at each weekly meeting. If a manager misses their goals for two weeks in a row, mandatory coaching and/or disciplinary action is taken.
We have built triggers into our software so that every time there is a reservation or cancellation, the system notifies the owner by email. This allows the owner to be aware of any changes in case they want to adjust their schedule.
SNOOPIS (For Non-Renting Owners)
Our non-renting owners program allows us to efficiently deal with owners who do not wish to engage in Seaside booking rental activity. We have custom built a separate software (Sea Side Non-Rental Owner Online Payment Information Software) which tracks their bills and notifies them when money is due to pay their utilities. We check on a scheduled basis or as needed. All cleanings, concierge services, and maintenance work is shown to the owner. Owners are automatically emailed directly from our software regarding every activity on their account. Owners can replenish their account remotely by Visa, MasterCard or PayPal.
Our ability to do business in multiple markets has enabled our company to be more stable than local-only operators by having year round business. It is also a convenience for our owners and guests to be able to come to operational offices in the U.S. and Mexico to discuss and interact with property management professionals.
